PERSONAL DATA PROCESSING INFORMATION FOR HOTEL GUESTS

1. The Data Controller’s representative, Mr. Maciej Kozłowski, acting as the Data Protection Officer for the company. 2. Your personal data will be processed for the following purposes:

a) To conclude and fulfill the hotel service agreement or take actions at the request of the person to whom the data relates, before concluding the hotel service agreement (e.g., reservation), as well as in the case of entering into other agreements related to the business profile.

b) To fulfill accounting obligations (e.g., issuing sales documents, reporting to tax authorities).

c) To establish, investigate, or defend against claims.

d) For marketing our own services (direct marketing).

e) To ensure the safety of hotel employees and guests (visual monitoring).

f) To create registers and records related to GDPR.

g) For data archiving.

h) To manage the website.

i) For analytical purposes, such as researching and analyzing activity on the hotel’s website.

j) For statistical purposes – children’s data such as name, surname, nationality, and date of birth are collected exclusively from their parents or legal guardians to determine their age and applicable discounts (GUS obligation and tourist tax).

k) For customer satisfaction surveys, audits, service improvement, and modification of our services.

3. Personal data will be processed based on art. 6 ust 1 lit b RODO, which allows the processing of personal data if it is necessary to perform a contract or take steps prior to entering into a contract, based on art. 6 ust 1 lit c RODO if such processing is necessary to fulfill legal obligations of the Data Controller, and based on art. 6 ust. 1 lit. f RODO, which allows the processing of personal data if it serves the legitimate interests of the Data Controller.

4. Providing any personal data is voluntary and depends on your decision. However, in some cases, providing specific personal data is necessary to meet your expectations regarding the use of our services.

5. Recipients of personal data may include:

a) Authorized public authorities.

b) Courier and postal companies.

c) Legal services providers.

d) IT service providers.

e) Facility security service providers.

f) Financial and accounting service providers.

g) Document destruction service providers.

h) Travel agencies.

i) Insurance companies cooperating with the hotel.

a) In terms of contract fulfillment, for the duration of the contract, and after that, data will be processed for the period required by law or for the period necessary to assert claims.

b) In terms of fulfilling legal obligations of the Data Controller, data will be processed for the duration of fulfilling these obligations.

c) In terms of pursuing legitimate interests of the Data Controller, data will be processed until your objection against data processing is positively reviewed.

d) Personal data processed by visual monitoring will be stored for 30 days, unless, due to special circumstances (e.g., an accident), monitoring records need to be stored longer, including during any legal proceedings.

7. We inform you of the right to:

a) Access your personal data and request a copy of it.

b) Correct your personal data.

c) Request restriction of the processing of your data.

d) Delete data if there is no other purpose for processing, e.g., the contract has been completed.

e) Data portability related to the conclusion of a hotel services agreement.

f) Object to the processing of personal data when it is based on legitimate interests.

g) Be forgotten in cases where other legal provisions allow it.

h) Receive a copy of the data.

8. Additionally, you can object to the processing of your personal data for marketing purposes at any time. In such a case, we will cease processing for this purpose.

9. We would like to emphasize that the mentioned rights are not absolute, and in some situations, we may legally refuse to fulfill your requests. However, if we refuse your request, it will be done only after a thorough analysis and only when refusal is necessary.
